1. About this Policy

AiTEA Pte Ltd (“AiTEA”, “we”, “us” or “our”) provides equipment, ingredients, beverage services and restaurant IT solutions. This Policy explains how we handle personal data collected through www.aitea.sg and related enquiries, consultations and business communications. It also explains how you can contact us about your personal data.
“Personal data” means information about an individual who can be identified from that information, either on its own or together with other information available to us. We handle personal data in accordance with Singapore’s Personal Data Protection Act 2012 (“PDPA”). This Policy does not replace any separate privacy notice or data-processing terms applicable to a particular service.

2. Information we collect

The information we receive depends on how you interact with us. Our website enquiry form asks for your first name, last name, email address, enquiry interest and message. You may also provide your telephone number, company and equipment model.
Form submissions are processed through Wix. Our form notification system sends an email notification to AiTEA’s website account owner so that we can respond to your enquiry.
When you contact us by email, telephone or WhatsApp, we receive the contact details and information you share with us. This may include your product requirements, equipment information, quotation requests and subsequent correspondence.
If your enquiry develops into an order or service arrangement, we may request the additional information needed for that arrangement, such as a delivery address or service contact. We will explain any additional purposes where required.
Our website and its connected services also process technical and usage information, as described in section 6. Please provide accurate information and tell us if important details change. Only provide another person’s personal data where you are authorised to do so. Avoid sending passwords, payment-card details, identity documents or other information that is unnecessary for your enquiry.

3. How we use your information

Depending on your interaction with us, we use personal data to:
• Respond to enquiries about our equipment, ingredients, beverage services and restaurant IT solutions
• Understand your requirements and prepare requested recommendations or quotations
• Arrange consultations, demonstrations, deliveries, installation or support that you request
• Communicate about your enquiry, order or service arrangement
• Maintain relevant customer, quotation and service records
• Understand website traffic and improve our website’s content and navigation
• Operate and protect our website, forms and communication channels, including detecting spam and automated abuse
• Address complaints, resolve disputes and meet legal obligations
We collect, use and disclose personal data for purposes that are reasonable in the circumstances and that have been notified to you, with your consent where required. The PDPA also permits certain handling of personal data without consent. If we intend to use your personal data for a new purpose, we will give any additional notice and obtain any consent required by law.

4. Your choices and marketing

You can choose whether to provide personal data. Without information needed to understand and respond to your request, we may be unable to assist fully.
Any promotional communications must have an appropriate basis under applicable law. Where we request consent for optional marketing, that choice will be separate from the information needed to handle your enquiry.
You can ask us to stop sending marketing messages by using an unsubscribe option provided in the message or by contacting us. Opting out of marketing does not prevent communications needed to handle an existing request or service arrangement.

5. When information may be shared

Where necessary for the purposes described above, we may share relevant personal data with providers that support our website, forms, analytics, security, communications, information storage and business systems; suppliers, delivery providers, technicians or other service partners involved in fulfilling your request or service arrangement; and professional advisers, regulators, public authorities or other parties where disclosure is required or permitted by law.
We limit disclosures to information appropriate for the relevant purpose. When a provider processes personal data on our behalf, we require appropriate protection and handling arrangements.

6. Website technology and third-party services

Wix hosting and analytics: Our website uses Wix for hosting, forms and related website functions. We also use Wix Analytics, which provides reports about website sessions and visitors. These reports help us understand how people find and use our website. Information processed for website operation and analytics can include an IP address, browser or device information, pages visited, visit times and the source of a visit. Form security and spam prevention: Our enquiry form uses Wix’s advanced spam filtering and Google reCAPTCHA to help detect automated submissions, spam and misuse. These checks may analyse visitor interactions and technical information. Wix’s spam filters may also assess network identifiers and submitted contact information. reCAPTCHA uses a security cookie when performing its risk assessment. Google Maps: Our website includes Google Maps to help visitors locate us. When the map loads or you interact with it, Google may receive information such as your IP address and browser or device information. Cookies and browser settings: Cookies are small files stored in your browser. Our website and connected services use cookies and similar technologies for functions such as website operation, security and traffic measurement. You can manage or delete cookies through your browser settings. Blocking some cookies or scripts may affect website features, including maps or form submission. Browser settings may not prevent every form of technical information collection. You can contact us using section 11 if you have questions about these technologies or encounter difficulty using our enquiry form.
WhatsApp and external links: Our WhatsApp link opens a third-party messaging service. If you choose to message us there, we receive the information you share in that conversation. Other websites and services linked from our website may have different privacy practices. This Policy explains AiTEA’s handling of personal data.

7. Processing outside Singapore

Some service providers may store or process personal data outside Singapore. When we transfer personal data overseas, we will comply with the PDPA’s transfer requirements, including ensuring a standard of protection comparable to that required under the PDPA where applicable.

8. Protection and retention

We make reasonable security arrangements to protect personal data in our possession or control against unauthorised access, use, disclosure, alteration, loss and similar risks. No method of electronic transmission or storage can eliminate every risk.
We retain personal data while it is needed for the purposes for which it was collected or for relevant legal or business purposes. When those reasons no longer apply, we will cease retaining it or remove the means of identifying individuals from it.
If a personal data breach occurs, we will assess it and notify the Personal Data Protection Commission and affected individuals where the law requires.

9. Access and correction

Subject to the PDPA’s requirements and exceptions, you can request access to personal data about you that is in our possession or control; information about how that data has been used or disclosed during the year before your request; and correction of an error or omission in your personal data.
Please make your request in writing using the contact details below. Include enough information for us to identify the relevant records. We may need to verify your identity or clarify your request before providing information.
We will respond as soon as reasonably possible or practicable, as applicable. If we cannot complete an access or correction request within 30 days, we will inform you in writing within that period when we expect to respond. If a reasonable fee applies to an access request, we will provide a written estimate before proceeding.

10. Withdrawing consent

You may withdraw consent to the collection, use or disclosure of your personal data by contacting us with reasonable notice. We will explain the likely consequences. Depending on the information and purpose involved, withdrawal may affect our ability to continue handling your enquiry or providing a requested service.
After withdrawal takes effect, we will stop the relevant consent-based handling, including by providers acting on our behalf, unless continued handling without consent is required or permitted by law. Withdrawal does not necessarily require immediate deletion of records that we must retain for legal or business purposes.
